JOB TITLE – Program Coordinator

GENERAL SUMMARY OF DUTIES – The Program Coordinator will be responsible for reviewing, verifying, and approving payroll information on a weekly basis for up to 2000+ employees, including learners, instructors, and infrastructure Employees. This position serves as the primary liaison with learners, internal departments, and client stakeholders regarding payroll. The Program Coordinator will work closely with the Program Professionals to assist with the operations coordination of learners for all cohorts.

SUPERVISOR – Education Support Manager



• Receives learner’s time worked during didactic and preceptorship through timekeeping system(s) on a weekly basis
• Receives instructors and department employees time worked via timekeeping system(s) on a weekly basis
• Verifies timekeeping records for accuracy and completion
• Investigates any discrepancies with learners or instructors, department employees, and facility managers
• Enters and approves employee hours into payroll systems for weekly payroll processing
• Requests payroll corrections for any payroll errors resulting in an underpayment/overpayment, upon receiving supporting documents
• Responds to employees and managers inquiries regarding payroll issues and concerns
• Escalates discrepancies that cannot be resolved to Management
• Updates and maintains employee payroll tracking systems and records
• Generates payroll reports from databases and timekeeping systems
• Answers internal and external calls providing excellent customer support
• Develops a professional collaborative working relationship with employees, learners, instructors, and facility staff
• Works closely with local and corporate payroll departments in order to complete payroll by payroll deadline
• Creates and distributes ID badges for learners
• Maintains the accuracy and confidentiality of payroll records, employee files, and documents
• Collaborates with credentialing and onboarding teams to ensure completion of learners onboarding
• Data entry into various education databases including Workforce2.0, Lawson, SharePoint, etc.
• Assists with ensuring all requirements are met for program compliance
• Travels to cohort sites to provide support, as needed
• Attend meetings as assigned and reports on actions
• Serves on HWS Disaster team and participates in all activities related to readiness, planning, and implementation, travel may be required
• Must be able to work a flexible schedule, including evening and weekends as needed
• Other duties as assigned


Job Requirements

KNOWLEDGE, SKILLS, & ABILITIES – This position requires the following minimal requirements:

• Handles multiple priorities, works independently, and able to work in confined and/or crowded areas
• Must be able to work weekends, holidays, and evenings
• Familiarity with payroll software is preferred
• Possesses great customer service skills
• Experience working with payroll with a high volume of employees is preferred
• Must have excellent organizational, verbal, and intrapersonal skills
• Excellent mathematical and analytical skills
• Must have experience working with Excel spreadsheets
• Must be able to work in stressful situations
• Strong attention to detail is required
• Must be able to read/comprehend written instructions and follow verbal instructions
• Must have computer technology knowledge
• Must be able to adapt to changes
• Maintains working area and equipment in accordance with environmental and safety regulations

EDUCATION – Must have a high school diploma or GED equivalent.

EXPERIENCE – 1-3 years
